At EDiS, our Project Administrators are an essential part of our project teams. You’ll work side-by-side with teams from start to finish. You’re the kind of person who reads “project administrator” and thinks, “Ah, yes—the one who herds the cats. Just call me T-Swift, Jr.” From project setup to fielding submittals and supporting project communication, you’re the air traffic controller of the team: calm, clear, and keeping everything moving forward.

Your priorities will be:

  • The Organizer-in-Chief: You’ll create order from beneath the pile of digital files—keeping project documents, contracts, insurance certificates, and submittals as perfectly arranged as a rainbow-sorted spreadsheet.
  • The Bid Wrangler: You’ll help assemble bid packages, track contractor submissions, and make sure everyone’s bringing their A-game (and the right paperwork).
  • The Keeper of the Records: From kick-off meetings to closeout files, you’ll be the guardian of documentation. Think Hermione Granger with a filing system and a strong Wi-Fi connection.
  • The Right-Hand Hero: You’ll be the go-to for your project leads—anticipating needs, keeping tasks on track, and giving “already done” energy before anyone even thinks to ask.

Day to Day you will:

  • Review and track project documentation including contracts, insurance certificates, submittals, and closeout materials—making sure everything is current, complete, and compliant.
  • Maintain accurate project records from start to finish, using tools like Microsoft Office, Adobe Acrobat/Bluebeam, and BuildingBlok when applicable.
  • Assist in preparing bid packages and distributing documentation to contractors; track responses and follow up on required submissions.
  • Support project meetings by scheduling, preparing materials, and taking and distributing clear, concise meeting notes.
  • Coordinate internal processes with the project team.
  • Communicate professionally with subcontractors, clients, and internal team members to keep tasks moving and information flowing.
  • Assist with archiving project documentation post-completion and support general administrative tasks as needed.

Your Skills Look Like:

  • Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint) and PDF software like Adobe Acrobat or Bluebeam.
  • Highly organized with strong attention to detail—someone who double-checks the checklist.
  • Clear, professional communicator—on phone, in person, and especially over email.
  • Solid grammar and proofreading skills (because typos in contracts? Not on your watch).
  • Comfortable juggling multiple tasks in a fast-paced, team-oriented environment.
  • Able to maintain confidentiality and professionalism at all times.
  • Open to feedback, eager to learn, and committed to doing great work—every day.

Your Experience Looks Like:

  • High school diploma or GED required; 1–2 years of business school or equivalent training preferred.
  • 1–2 years of demonstrated administrative support experience, ideally in construction, architecture, or a related field.
  • Familiarity with standard business correspondence, formatting, and communication.
  • Bonus points if you’ve supported project teams, worked with subcontractors, or helped coordinate internal processes and documents.
